Administrative Assistant

We are currently seeking an energetic, dependable team player to fill the position of Administrative Assistant at our terminal located between Winnipeg and Rosser, MB. reporting to the General Manager. Providing exceptional customer service, this position plays a key role in the overall success of our business.

The ideal candidate is self-motivated, highly organized and understands the importance of providing top-notch customer service. This position is well suited for an individual who possesses a positive attitude, strong communication skills and is highly organized.

This position is responsible for providing all administrative support and services to the operation of the fertilizer terminal facility. This includes data entry, word processing, scheduling, generating shipping and receiving documents and other clerical tasks. The administrative assistant provides general reception duties, as well as backup support to both the Terminal Manager and Marketing Manager.


  • Receive and communicate with transport drivers at the administration office.
  • Receive and verify relevant security and scheduling information.
  • Receive and communicate loading details to shipping office.
  • Generate shipping documents using appropriate computer system.
  • Receive and process customer requests for product access.
  • Coordinate and update shipping calendar.
  • Liaison with supplier customer service departments, transport dispatchers and retail locations to communicate issues of product availability, terminal scheduling and any other relevant points that would help or hinder efficient product movement. 
  • Greets and assists visitors and callers by answering inquiries or forwarding calls as appropriate.
  • Maintains accurate records and filing systems; ensure all documentation is accurate and complete.
  • Maintains office supply inventories and orders as required.
  • As requested by the office administrator, assist with processing inventory receipts, invoices, sales orders, purchase orders, inventory records and reporting.
  • Other duties as requested.


  • High school graduate.
  • 1 year experience working in an office (administrative) environment
  • Proficiency with Microsoft Office – Word, Excel & Outlook
  • Previous switchboard / reception experience considered an asset.
  • Excellent communication skills.
  • Ability to work as part of a team or independently with minimal supervision;
